Terms of Service

The Club data terms for clubs that use Pool Queue, and the terms for using this website.

Last updated

1. For clubs

Your club's signed service agreement with Pool Queue Information System Inc. is your contract with us. It sets your prices and fees.

The Club data terms below, from "Your club's data" to "When a subscription ends", set how we handle your club's data. Pool Queue follows them for every club, and a service agreement that refers to them includes them.

Current prices for new clubs are on the pricing page.

How we handle personal information is set out in our Privacy Policy.

Members, parents, and guardians use Pool Queue under their club's own terms.

2. Your club's data

Your club owns its data: the information your club, its staff, and its members enter in Pool Queue.

Your club decides how that data is used.

We never sell your data. Pool Queue never sells your club's data to other companies.

Your club's data is stored in Canada, on Microsoft Azure.

3. How we process it

We process your club's data only to provide the Pool Queue service, and only on your club's instructions, which include the settings your club chooses in Pool Queue.

We do not use it for any other purpose, except to keep the service secure and keep the service logs described in our Privacy Policy, or as the law requires.

Everyone at Pool Queue who can see your club's data must keep it confidential, and uses it only to run and support the service.

4. Service providers

The service providers listed in our Privacy Policy act as our sub-processors. Each one is bound to use your club's data only to provide its service.

Stripe and PayPal also have their own agreements with your club, which is the merchant for its payments.

When we add or change a provider, we update that list, and we email club administrators about material changes.

5. Security incidents

If a security incident affects your club's data, we tell your club without undue delay, and we give your club the information we have so it can meet its own duties.

We report incidents to regulators and notify individuals as the law requires.

6. Requests from members

If a member, parent, or guardian asks your club to see or correct their information, we help your club answer.

If they send the request to us, we pass it on to your club.

7. When a subscription ends

Your club can ask us for a copy of its data before its subscription ends, or within 30 days after it ends.

We delete your club's data within 90 days after the subscription ends. Copies in backups are removed as the backups roll off on their own schedule.

We keep billing records for as long as tax law requires.

8. Using this website

These website terms apply to everyone who uses www.poolq.net. By using this website, you agree to them.

The contact and demo forms are for questions about Pool Queue. Our Privacy Policy explains how we handle what you send.

These website terms are governed by the laws of British Columbia and the federal laws of Canada that apply there.

Unless we say otherwise, the text, images and graphics on this site belong to Pool Queue Information System Inc. or are used under license, and are protected to the extent the law allows. We do not grant any license to copy, edit or republish them, or to use them to train, fine-tune or test artificial intelligence or machine learning systems, except as the law permits (for example fair dealing or fair use) or with our written permission. Other names and logos belong to their owners. To ask for permission, contact us using the details on this site.

11. Changes to these terms

The date at the top of this page shows when these terms last changed.

If we make a material change to the Club data terms, we email club administrators at least 30 days before it takes effect.

A change that reduces the protection these terms give your club's data applies to your club only once your club agrees to it.
