Programs fill by the rules you set
Open seasons, sessions, and programs, including private ones, for online registration. Spots update live as a program fills, and a full program takes a waitlist.
Registration rules you set decide who can register, so no one checks by hand.
- Registration forms with your own questions, waivers, and versioned terms, plus a report of who agreed.
- Skills assessments that decide who can register for the next level.
- A digital ID card for each member, with a QR code anyone can check.
Fees that follow your club's rules
Charge for training the way your club runs it: by the session, by the month, by how many days a week someone trains, or on a payment schedule you set. Where a program offers more than one, account holders choose how they pay.
Set membership and other club fees once, and Pool Queue adds them to each registration where they apply.
- A member who joins a second program this season is not charged the membership fee again, so your registrar never has to check whether insurance was paid.
- Multi-member discounts follow your rules, including who pays full price, and are recalculated as members join or withdraw.
- Discounts for returning members, and promo codes entered at registration, come off the bill automatically.
Invoices go out on the day you choose
Pick a day of the month, and scheduled fees become invoices on that day, emailed to account holders if you choose.
When it is time to collect, staff select the invoices and charge saved cards or bank accounts in one step.
- Invoices, receipts, credit memos, and yearly statements for every account.
- Fundraising and volunteer commitments per account, with an optional fee if they are not met.
- Registration fees charged to the saved card or bank account when the registration is processed.
Questions
Does it work for adult clubs?
Yes. Pool Queue serves adult clubs as well as age-group teams. Masters swimming and triathlon clubs, for example, can be set up with single-person accounts, so each adult registers and pays for themselves. See masters swimming and triathlon.
Who can create an account?
You decide. Leave sign-up open to anyone, or close it so visitors contact your club instead. With approval, newcomers tell you who they are, a registrar approves the account, and Pool Queue emails them when it is ready.
Can we bring our current members over?
Yes. Pool Queue brings your members across for you during setup.
Can account holders pay an invoice in parts?
Yes, if your club allows it: they can pay part of an invoice now and the rest later.
Does it work for sports other than swimming?
Yes. Registration and billing work the same way for any sports club. See what each sport gets
